WISE

Objectives:

  • What is WISEdata?
  • Setup
  • Maintenance

WISEdata:

WISEdata is a data collection system available to schools participating in a parental Choice program.  This data is submitted to the Department of Public Instruction (DPI) via your SIS vendor (Educate).

Setup:

  1. Complete the Ed-Fi Credential application. For further assistance with this application, please refer to the following link: https://dpi.wi.gov/wisedata/help/mini-tutorials/edcred
  2. Educate will be notified once this application has successfully been completed and submitted, allowing our support team to configure your Educate account to properly sync with WISEdata.
  3. Once configuration is complete, you will need to add WISE IDs to student profiles. This can be done two ways:
    1. Manual Upload:
      1. Generate and download Educate’s ‘WiseID Persons’ report. This report is formatted with all DPI requirements to appropriately obtain WISEids for applicable students.
      2. Upload the Wiseid Person report to your WISEid portal via WISEhome. In return, your portal will supply a similar document which now contains WISEids. For assistance with uploading this report, please refer to the following link: https://dpi.wi.gov/wisedata/help/wiseid/choice-quick-start
      3. Once you have the file with the WISE IDs you can upload them to Educate by going to (Educate>>School>>Setup>>Data>>WISE>>Import WISEids>>Choose file>>click Import button)
    2. Use our Identity API to search and add WISE IDs to student profiles.
  4. Begin adding ‘tags’ to student profiles within Educate.
    • NOTE: If your school opted-in reporting all students regardless of participation status, all students will need WISEids and be appropriately tagged.
    • To begin tagging students, please refer to the following steps:
      • To tag students in BULK:
        • Located in your School module in Educate, click on your gray ‘Students’ tab
        • Check and highlight applicable students that share similar tags by checking the box left of the student name
        • Towards the bottom left corner of the page, select bulk actions>>add tags
        • A modal will generate containing all available tags, select all that apply for the group of students>>save
      • To tag students INDIVIDUALLY:
        • Located in your School module in Educate, click on your gray ‘Students’ tab
        • Click on the student’s name you would like to edit
        • On the left within the student profile, expand ‘Enrollment’>>click into ‘Tags’
        • At the bottom of the page, click ‘edit’
        • Select all applicable tags for this individual student>>save
      • When all students have been appropriately tagged, you may begin sending this data to WISE!
        • To begin sending data, please refer to the following steps:
          • Viewing the student directory in Educate, please filter to ‘Show All’ students in the bottom right corner
          • Check and highlight all students (if you DO NOT need to report non-choice participants, you can still select them as they will not have a corresponding WISEid to communicate with)
          • In the bottom left corner, select ‘Bulk Actions’>>send to WISE.
            • NOTE: Please confirm you are sending data for the correct school year.

Attendance:

Please note that Attendance information will be automatically sent to WISE weekly on Sundays. If you need to send it before then, you can  select the students and use the bulk action "Send to WISE" so it is up to date.

Maintenance:

Every school year, DPI conducts multiple snapshots. These snapshots collect all submitted data for reporting purposes. It is crucial to ensure your WISEdata portal is clear of errors to avoid reporting delays and point deductions. Please refer to the following link to best prepare yourself for snapshots: https://dpi.wi.gov/wisedata/schools/snapshot-prep
