Before You Start
You must use a specific naming scheme and package the image files in a specific way in order for the import to correctly assign the photos to the associated profiles.
- Each student's photo should be labeled with the student’s number.
EXAMPLE: The photo for the student with a student number of 12345 should be named 12345.jpg - Each staff photo should be labeled with a prefix of emp_ and the staff member’s employee ID number.
EXAMPLE: The photo for the teacher with the employee ID of 6789 should be named emp_6789.jpg - All image files should be placed together (not organized into separate folders) within a single zipped file folder, which is what you will upload.
When you open the zipped folder you should be able to see the photos instead of having to click into another folder.
- Open the folder where all the photos are located.
- Select all of them by clicking and dragging.
HINT: You may also press CTRL+A (Command+A on Mac) to select all. - Right-click and Send to the Compress (Zipped) Folder.
- Note: The file must be below 100,000kb or 100mb.
Importing the Photo Files
Before you start importing the photos, make sure that they are named appropriately and placed in a zip file, as outlined in the Before You Start section above.
- In TADS Educate School, select the Setup tab.
- Under Setup > Data, click Photo Upload.
The Photo Upload page appears.
HINT: If you do not see the sub-menus under Setup or Data, click the Expand icon beside the header to expand the menu. - Click the Add a Photo Upload button in the top right.
The Photo Upload page appears. - In the Name text box, type a name for the import.
HINT: This name won’t be visible anywhere but on the Photo Upload page. It can be helpful as a reference for you when looking back at uploads, so make sure to use a name that is descriptive of which upload this is (e.g., 2022-23 School Photos). - In the File section, click Choose File.
The Choose File dialog box appears. - Navigate to and select the zip file with the photos.
- Click Open.
The zip file is selected. - To replace any existing pictures for each profile that a picture exists for, in the Replace existing pictures section, select Yes.
OR
To only apply pictures to profiles that do not already have pictures attached, in the Replace existing pictures section, select No. - Click Upload.
The files begin to upload.
NOTE: Depending on the number of photos included, it may take a few minutes for all the photos to be applied to the appropriate profiles.
