The Donation Acknowledgements tool allows you to quickly generate a batch of correspondence to acknowledge donations. When you are generating a batch, you can enter criteria to find any donations you want to create acknowledgements for. If you flag donations that you want to send acknowledgements for in that donation, you can search based on that flag.

 

  1. In TADS Educate Donor Management, select the Communications tab.
  2. Under the Communications tab, click the Acknowledgements link.
    The Acknowledgements page appears, displaying a list of all acknowledgement batches that have been generated.
  3. Click Add a Batch.
    The Setup Properties step appears in the Acknowledgements power tool.
  4. In the Name text box, type a unique name to identify this batch of acknowledgements.
  5. From the Default Template drop-down menu, select the template that will be used for all donation acknowledgements that were not set up initially with a different template.
     HINT: If you created a donation and indicated a template for acknowledgements, that template will be used instead.
  6. From the Default Method drop-down menu, select the way that all acknowledgements in this batch should be sent if they were not set up initially with a method.
     HINT: If you created a donation and indicated a method for acknowledgements, that method will be used instead.
  7. Click Save.
    The Select Donations step appears.
  8. Click Add Donations.
    The Search for donations to have acknowledgements generated page appears.
  9. Using the provided fields, enter any information to search for the donations you would like to generate acknowledgements for.
     HINTS:
    If you select Yes in the Send Acknowledgement section, you will be searching for donations that had the Send Acknowledgement flag set to Yes when the donation was created.
    If you select Yes in the Donations with  Acknowledgement section, you will see results for donations that have already had acknowledgements generated. If you select No, you will only see donations that have no yet had an acknowledgement generated.
  10. Click Search.
    A list of donations matching your search criteria appears.
  11. To generate an acknowledgement for any of these donations, select the checkbox for those donations.
  12. Click Add Selected.
    A list of donation acknowledgements that will be generated appears.
  13. Repeat steps 9–12 until all desired records appear.
  14. When finished adding records, click Continue.
    The Preview and Generate step appears.
  15. In the Donations section on the right, select the button for each donation to view the previewed message.
     HINT: Be sure to use the Preview option in the upper right to view acknowledgements as either emails or letters, depending on the way each acknowledgement will be sent. This will allow you to view the font and size of the text that you will be sending.
  16. OPTIONAL: To edit an individual acknowledgement letter,
  1. From the Donations list at the right, select the letter you want to edit.
  2. From the bottom left, click the Customize button.
    The Message page appears and the message is editable.
  3. Make any desired changes to this donation acknowledgement.
  4. When finished, click Save.
  1. Repeat steps 15–16 until you have preview and made any desired changes to each donation acknowledgement.
  2. When all acknowledgements have been edited, click Generate Batch.
    The View and Print step appears.
  3. To view either email or letter acknowledgements, from the Method drop down menu on the right, select the type of acknowledgements you would like to work with.
  4. Click Go.
    Acknowledgements of the desired type appear.
  5. To print all acknowledgements of a specific method, click the Print Batch button.
    A new window appears with the acknowledgements in an easily printable format.
  6. Use the controls in your browser to print the acknowledgements.
  7. To print only selected acknowledgements,

  2. Click the Print Selected button.
    A new window appears with the acknowledgements in an easily printable format.
  3. Use the controls in your browser to print the acknowledgements.
